JOB DUTIES

Scope of the Job

Serves as initial point of contact for new clients and law enforcement entering the building.  . Receptionist responsibilities.  Reports directly to the Office Manager, Pediatric Administrative Director and/or designee.

Essential Functions

The essential functions are the primary dimensions for performance review.

1.

Screen all telephone calls and individuals coming into the facility.

2.

Supervises children in the waiting and play areas and maintains order in the lobby.

3.

Performs general secretarial duties as assigned by the Office Manager.

4.

Assists in data input/collections and assists in the opening/closing of case files.  Assists in maintaining staff training logs.  Assists in obtaining statistical information for required program reports. 

5.

Prepare check requests according to UF guidelines. Maintain inventory of office supplies, forms and checks all deliveries for accuracy.

6.

Accepts and directs subpoenas for Case Coordinators and Team Coordinators.

7.

Maintain schedules for meeting/conference rooms.

8.

Receives, sorts, and distributes incoming and outgoing mail.

9.

Opens front office on time and retrieves messages from answering service.  Keeps answering service updated with on-call scheduled.

10.

Types to completion all reports for faculty and staff as requested.

Secondary Functions

Collects time sheets/time cards weekly and fax to administration.

Prepares and sends faxes.

Reports all maintenance issues and telephone trouble.

Participate as team member in Center operations.

Temperament

Must be able to perform under stress when confronted with emergency, critical, or unusual situations.  Must be capable of dealing with periodic cyclical workload pressures and levels of responsibility.  Requires the ability to work with clients and staff in a respectful manner. 

SKILLS, QUALIFICATIONS, AND REQUIRED EXPERIENCE

Skills

Knowledge of Microsoft office programs.

Experience

One year's clerical experience is required. 

Education and Certifications

High School diploma or its equivalent is required.  Valid Florida drivers license and access to personal vehicle

Personal computer, fax machine, multi-line telephone, photocopier

$9.03 - $14.45 Hourly
